Applications to the 2025 Forum are now closed.

Below you will find information and guidance on what needs to be included in your application.

Please read it carefully BEFORE you start the application process – the online form cannot be saved and added to later.

Your application must be submitted in ONE email by 7:00pm (NZST) Friday 23 August 2024

Application Instructions

All the documents referred to are found in a section further down the page.

Step One: 

Complete and submit the online Application Base Data Form and save the email copy received as a PDF.
To complete this form you will need to know:

  1. Your New Zealand Permanent Residency number (if not a NZ Citizen)
  2. The name of your nominating Rotary Club to whom your application will be sent (your school Head of Science or Principal or school administrator can advise the Rotary Club supporting your school if you have not already made a connection with a Rotary Club)
  3. The date of your last COVID vaccination
  4. Measles vaccination information

Step Two:

Complete the Application Supplementary Information Form and save as a PDF

    Step Three:

    Complete the Applicant and Parent/Guardian Declaration form – print, sign, scan, and save as a PDF.

      Step Four:

      Obtain a signed letter of recommendation from your school Head of Science, or the Principal, confirming their support of your application. Save as a PDF.

        Step Five:

        Write a letter to the President of your nominating Rotary Club outlining the motivation for your application and the reasons why you believe you should be selected. Save as a PDF.

          Step Six:

          Email all completed PDF documents referenced above in ONE email to the Forum Administration by 7:00pm (NZST) Wednesday 4 September 2024 at

          APPLICATION PROCESS TIMELINE

          4 September 2024

          Applications Close

          Please ensure you complete and submit all parts of the application.

          27 September 2024

          Rotary Club interviews completed

          Your application will be considered by Rotarians from your local Rotary Club who may interview you.

          4 October 2024

          Final Rotary Club nominations submitted to Rotary District Coordinators

          Rotary Club nominations are sent to a Rotary District Coordinator for further consideration.

          30 October 2024

          Applicants advised of selection status

          A member of the applicants’ nominating Rotary Club will contact them personally to advise their selection status.

          9 November 2024

          Student portion of registration fee payments to be made.

          You must confirm your acceptance and arrange immediate payment of your agreed share of the $2,395.00 (incl. GST) registration fee to your nominating Rotary Club.

          Mid-December 2024

          Forum handbook emailed to successful applicants

          Travel information and e-tickets, where applicable, as well as Forum details will be emailed directly to successful applicants.

          Frequently Asked Questions

          Where will I be staying?

          You will stay in a single roomed accommodation at a university hall of residence at the University of Auckland. Student advisors and approved Rotary appointed adults will live with you for the duration of the Forum. You must stay on campus for the duration of the forum.

          What will I experience at the forum?

          The forum includes hands-on experiences in laboratories and field stations, lectures, and field trips at various tertiary institutions in Auckland. Students will also visit organizations, providing a real-world understanding of the impact of science and technology.

          What are the dates and fees for the forum?

          The forum will be held from 11th to 25th January 2025. The registration fee is $2,395.00, which includes all meals, accommodation, and transport for students living more than 150 km from Auckland.

          How can I apply to the forum?

          Students need to complete four parts of the application process, including online forms, a declaration form, and letters of recommendation from their Head of Science and to the local Rotary Club President. Applications are due by 23 August 2024.

          What do I do if I live outside of Auckland?
          • If a student lives within 150km of the University of Auckland, you will be required to make your own way to and from the Forum. 
          • If you live outside these parameters, we will organise air or bus travel for your return journey to Auckland. You will be met at the airport or bus terminal by members of the Student Advisors team and will travel to the University Hall of Residence together. 
          • The registration fee includes all meals, accommodation and transport only if you live more than 150km from Auckland
